We reviewed 6 months of outbound activity and interviewed three of the agency's top-performing consultants to understand what made their messages convert. We found that personalisation at the company level — referencing a recent hire, a funding announcement, or a visible team gap — drove significantly higher response rates than personalisation at the individual level alone. That became the anchor for our automation design.
We designed a system that enriched each prospect with company-level signals before any message was drafted. The consultant would review a pre-populated brief on each target, approve or adjust the AI-drafted first message, and send. Follow-up sequences were handled automatically unless a reply came in. The design kept the consultant as the final human checkpoint on every outbound communication, preserving the quality that made the agency credible.

We built a pipeline that pulled prospect data from LinkedIn and the agency's CRM, used web search and news APIs to surface recent company signals, and passed that context to a language model prompted to write in each consultant's individual style. Messages were queued for review in a lightweight dashboard built on top of their existing outreach tool. The whole system was built and tested in 4 weeks and required no change to the consultants' existing outreach platform.
